Where is that file? 6 reasons to archive now, easier than ever and save money while doing it

By Dr. Marc M. Batschkus, Business Development Manager, Archiware

Where is that file? How often do you ask yourself that question? You´re not alone! With more files and growing storage capacity, it becomes harder to find files. External disks have made it even worse with their big capacities and cheap price. Now there is a new question: Where is that disk with that file?

The easiest way to solve this dilemma and protect files for the long-term is by building an Archive. Archiving every file that is no longer part of daily production is the first step. This frees up production storage and saves storage expansions. The next step is adding metadata to increase findability later.

1. Mini-MAM as BIG help

Archiware´s P5 Archive works with all kinds of files. It especially shines when archiving media and video, since the thumbnails and proxy clips tremendously help to locate files. Metadata, both technical and descriptive, can be added to any file or directory, because they improve searching for specific files. Media asset management - MAM systems are complex systems that are required for TV stations and big media houses. P5 Archive offers the most important features of a MAM, such as file information, browsing thumbnails and proxy clips, combined searching, among others. This way, you get the core MAM features in a simpler package and for much less.

Metadata is the key to the archive. Describing files of importing technical metadata are the two ways to make files even more discoverable. P5 Archive offers customisable metadata fields and menus. Building an individual metadata schema just takes minutes. It is worthwhile to invest some time beforehand and involve relevant staff to come up with the most relevant metadata.

2. Attractive price and scalability with Tandberg Data tape products

In combination with Tandberg Data/Overland tape drives and libraries, P5 is a very simple and easy to use solution and at a very reasonable price. Both P5 Backup and P5 Archive are compatible with all Tandberg Data tape products. The Archive solution of Archiware P5 Archive and Tandberg Data tape hardware offers a low entry price point. This makes it an excellent fit for smaller to mid sized companies where budget is limited and efficiency counts. A single external tape drive is the smallest configuration to start a tape based Archive. Storage Loader and the NEO series tape libraries are the next steps in scale.

3. The best storage at the lowest cost

Todays prices for tape are surprisingly low. Tape starts at only 10$ per TB. This makes the most proven long-term storage that is used by banks and large corporations around the globe more accessible than ever. Every workstation can easily connect to a tape drive or library with bridges by ATTO, Promise, mLogic and others.

4. Cloud or not Cloud? P5 keeps you flexible

Lots of talk about the Cloud is happening each day. Cloud storage can be used together with disk and tape storage in P5 Backup and P5 Archive. Whether the Cloud is an attractive and viable solution depends on the specific requirements, location and budget. In general, companies with large data sets are better off with local storage.

5. The Archive got even easier

On local media and video editing workstations, local storage constantly fills up. It either needs constant expansion or moving files away. Archiving files is clearly the better option, since it keeps them searchable for everyone in a company and protects them in the long-term archive.

The easiest Archive on the Mac is clearly archiving directly from the Finder. P5 Archive offers this integration with the Finder, so a right-click immediately archives a file or folder. This extremely easy archiving immediately frees up space on the local storage.

6. The Archive pays off and earns money

Since LTO tape is now cheaper than even cheap disk storage, Archiving can pay off faster than ever - literally. Instead of constantly investing in expansion of disk storage, building a tape-based archive scales by adding more tapes. Often all it takes is to find and present previous work to have a suggestion for new projects. Content can be reference, re-used and licensed easily once an archive is in place and all files are available. Added revenue can come by re-use, re-purposing and licensing of existing content.

So far, the focus was mostly on tape based Archive. But with RDX as removable storage, there are even more options with P5 Backup and P5 Archive. RDX is a good fit for Backup and Archive in setups with limited data sets. It can be used for data transport and for off-site storage. P5 Backup and P5 Archive both support RDX.

Archiware P5 offers Backup, Archive and Cloning in one solution and for all platforms: Mac, Win, Linux, Solaris, FreeBDS, Synology and QNAP.
